Slotly Schedule ("Slotly", "we", "us") builds appointment scheduling software. This policy explains what personal data we collect across our marketing website and the Slotly application, why we collect it, who we share it with, and the choices and rights you have. We act as a data controller for account and website data, and as a data processor for the booking data our customers manage in Slotly on behalf of their own clients.

Information we collect

Account & contact data — name, email, company, and password (stored hashed) when you start a trial, subscribe, or contact us.
Booking data — when you or your invitees schedule through Slotly: names, email addresses, phone numbers, appointment times, and any details entered into intake forms you configure. For our business customers, this data belongs to them; we process it on their instructions.
Billing data — handled by our payment processor (Stripe). We store a customer reference and plan status, not full card numbers.
Usage & device data — pages viewed, referrer, approximate location, browser, and device type, collected via analytics (Google Analytics, Microsoft Clarity) and server logs.
Cookies — strictly-necessary cookies to operate the site and product, plus analytics cookies to measure performance. You can control non-essential cookies in your browser settings.

How we use information

To provide, secure, and improve the Slotly website and product.
To send booking confirmations, reminders, and transactional notifications you or our customers configure.
To process payments, manage subscriptions, and prevent fraud.
To respond to support requests and communicate service updates.
To understand site usage and improve content and conversion. We do not sell your personal data.

Legal bases (GDPR)

Where the GDPR applies, we rely on: contract (to deliver the service you signed up for), legitimate interests (to secure and improve the service and measure marketing), consent (for non-essential cookies and marketing email, where required), and legal obligation (tax and accounting records).

Sharing & sub-processors

We share data only with vendors that help us run Slotly, under contract and only as needed: hosting and infrastructure, our payment processor (Stripe), email/SMS delivery providers, and analytics. We may also disclose data where required by law or to protect our rights and users. We do not sell personal data or share it for cross-context behavioral advertising.

Data retention

We retain account data for as long as your account is active and for a reasonable period afterward to meet legal, tax, and security obligations. Booking data is retained per our customers' configuration and deleted on request or on account closure. Analytics data is retained per the provider's standard retention windows.

International transfers

Our vendors may process data in countries other than your own. Where required, we rely on appropriate safeguards such as the EU Standard Contractual Clauses for those transfers.

Security

We use encryption in transit (TLS), hashed credentials, access controls, and reputable infrastructure providers. No system is perfectly secure, but we work to protect your data and to notify affected users and regulators of material breaches as required by law.

Your rights

Depending on your location (including under the GDPR and California's CCPA/CPRA), you may have rights to access, correct, delete, port, or restrict processing of your personal data, and to object to certain processing or withdraw consent. If your data was provided to Slotly by one of our business customers, we will refer your request to them as the controller. To exercise any right, email hello@slotlyschedule.com. You also have the right to complain to your local data protection authority.

Children

Slotly is not directed to children under 16, and we do not knowingly collect their personal data. If you believe a child has provided us data, contact us and we will delete it.

Changes to this policy

We may update this policy as the product and applicable laws evolve. We will revise the "last updated" date above and, for material changes, provide additional notice.
